Roles & Permissions

Below are the available roles within your Productlane workspace. Assign roles based on the level of access each team member needs.

Members and roles

The Members page controls who has access to your workspace. Admins invite people, change their roles, remove them, and manage allowed email domains so teammates can join automatically. Each Admin or Member seat added here counts toward your billed seat count; Viewer seats are free.

Where to find it

Settings > Workspace > Members.

Everyone can open the page. What you can do depends on your role:

  • Admins see "Manage who has access to Productlane" and get the Invite member and Add domain buttons plus the per-member and per-domain menus.

  • Members and viewers see "View who has access to Productlane" and can view the lists, but the management controls are hidden.

A "How it works" button in the header opens the related help article.

Roles

Productlane has three membership roles:

  • Admin: full control of the workspace, including billing and settings.

  • Member: can edit and reply to threads across all public teams. This is the default role for new invites.

  • Viewer: read-only access, and the only role that does not use a billed seat.

Controls on this page

Invite member

A button labeled "Invite member" in the Workspace members section (admins only). It opens the Invite member dialog:

  • Email: the invitee's email address.

  • Full name: the invitee's name.

  • Role: a dropdown with Admin, Member, and Viewer. It defaults to Member.

  • Send invite: sends an email with a link to join the workspace.

The dialog note reads: "An email will be sent to the user, with a link to join your workspace." On success you see a "Member Invited" confirmation.

Workspace members list

Each member row shows their avatar, name, email, and a role pill (Admin is highlighted). For any member other than yourself, admins see a "..." menu with these actions:

  • Change role: opens the Change role dialog.

  • Remove member: opens a confirm dialog to remove the person from the workspace.

You cannot change your own role or remove yourself from this menu, and only admins see the menu at all.

Change role dialog

Opened by "Change role" on a member's menu. It is titled "Change [name]'s role" and shows Admin, Member, and Viewer as selectable cards, each with a one-line description of what that role grants. Pick a card, then:

  • Save: applies the new role. If you select the member's current role, clicking Save just closes the dialog without any change.

  • Cancel: closes the dialog without saving.

The dialog footer links to this article ("Learn more about user roles").

Workspace invites list

When there are pending invites, admins see a "Workspace invites" section listing each invited person by name and email with an "Invited" pill. Each row has a "Cancel invite" button that revokes the pending invitation.

Allowed Domains

A section for auto-join by email domain. Its description reads: "Anyone with an email ending in one of these domains can join the workspace." Admins get an "Add domain" button.

Each domain row shows the domain, a status pill ("Verified" or "Pending"), the verification email address, and the date it was added or verified. Admins get a "..." menu per domain:

  • Verify domain: shown for unverified domains. Opens the domain verification dialog.

  • Remove domain: opens a confirm dialog. Removing a domain stops new members from signing up with that domain.

Add domain dialog

Opened by "Add domain". Titled "Add allowed domain" with the note that an email will be sent to verify you control the domain.

  • Domain: the domain to allow, in the form "example.com" (any protocol or path you paste is stripped automatically).

  • Email for verification: an address that must end in the domain you entered.

Common public email providers (for example gmail.com) are rejected. The verification email address must end with the domain, or the dialog shows an error. Submitting with "Add domain" starts verification and sends a code to the verification email.

Verify domain dialog

Opened by "Verify domain" on a pending domain. Titled "Verify domain [domain]". It asks for the verification code that was emailed to the verification address. Enter the code and click "Add domain" to mark the domain verified. Once verified, anyone with an email on that domain can join the workspace.

How to invite a teammate

  1. Sign in as an admin and open Settings > Workspace > Members.

  2. Click Invite member.

  3. Enter the email and full name, and pick a role (Admin, Member, or Viewer).

  4. Click Send invite. The person gets an email with a join link.

How to change a member's role

  1. Open Settings > Workspace > Members as an admin.

  2. Find the member and open the "..." menu on their row, then choose Change role.

  3. Select Admin, Member, or Viewer from the cards.

  4. Click Save.

How to remove a member

  1. Open Settings > Workspace > Members as an admin.

  2. Open the "..." menu on the member's row and choose Remove member.

  3. Confirm. The person loses access to the workspace.

How to set up auto-join by domain

  1. Open Settings > Workspace > Members as an admin.

  2. In Allowed Domains, click Add domain.

  3. Enter your company domain (for example acme.com) and a verification email on that domain.

  4. Submit, then open the verification email and copy the code.

  5. Open the "..." menu on the pending domain, choose Verify domain, paste the code, and click Add domain.

  6. Once the status shows Verified, anyone with an email on that domain can join.

Notes

  • Role and member management require the ADMIN role. Members and viewers can view the lists only.

  • You cannot manage your own membership from the member menu.

  • Admin and Member roles each occupy a billed seat; adding or removing them changes your subscription's seat count (see the Billing article). Viewers do not use a billed seat.

  • Public email providers cannot be used as allowed domains, and the verification email must match the domain you are adding.

  • Pending invites can be revoked at any time with Cancel invite.
